Use Parting Pro’s form settings to ensure families receive the right paperwork at the right time—either automatically after checkout or manually when needed. Refer to the Quick Guide Graphic below for a visual summary your options.

Vital Statistics Form (Auto‑Send)

What You Can Do:

  • Contact our Support Team to configure the Vitals form to auto‑send as soon as a new case is created.

Why It Helps:

Capturing vital stats right away streamlines everything. Auto‑sending ensures those fields sync into Case Details immediately—no extra clicks required.

Best Practices:

  • Use separate Vitals templates for each case type (At‑Need, Imminent, Pre‑Need) so families see only relevant fields.

  • Confirm that the correct Vitals form lands in the family’s inbox as soon as you create the case.

Core Forms (Auto‑Send by Service Type)

What You Can Do:

  • Contact our Support Team to configure specific forms to auto‑send based on the service or package selected.

Examples:

  • Direct Cremation Authorization → only for families choosing direct cremation

  • Burial Authorization / Burial Permit → only for families choosing a traditional burial

Why It Helps:

Families in each service category get exactly the documents they need—automatically—without you having to remember which forms to send

Best Practices:

  • Test by creating a “Direct Cremation” case or a “Burial” case to confirm the correct forms arrive automatically.

Library Forms (Manual‑Send / On‑Demand)

What You Can Do:

  • Contact our Support Team to upload any additional forms to your Forms Library for manual dispatch.

Examples of On‑Demand Forms:

  • Veteran Benefits Worksheet (only if the deceased qualifies)

  • Religious / Denominational Preference Forms (e.g., cemetery dedication paperwork)

  • Special Permits (airport transit permits, county/state‑specific documents)

  • Health Department Questionnaires (where local rules require them)

Why It Helps:

These forms apply only to specific situations. If they auto‑sent for every case, families who don’t need them would get confused. By storing them in the Library, you can click “Send” only when a case requires a particular form.

Best Practices:

  • Name each form clearly (for example, “Veteran Benefits Worksheet – Veterans Only”).

  • When a case needs a specific document, open the Library, select that form, and send it. The signed form will then appear in Case Details under “Forms & Documents.”

Example Workflow

Use this simple four‑step flow to see how auto‑send and manual forms work together:

  1. Family completes online checkout.

  2. Vitals + core forms auto‑send.

  3. Send any extra required forms manually (from the Library).

  4. All submitted data populates in Case Details.

Ongoing Maintenance & Tips

  • Review Quarterly

    • Contact our Support Team to remove any forms you no longer use.

    • Contact our Support Team to add newly required forms (e.g., new permits, updated questionnaires) to the Library.

  • Clear Filenames

    Give each form an intuitive name that reflects its purpose and service type (for example, “Auth & Release – Direct Cremation”) so it’s obvious when selecting from the Library.

  • Keep Auto‑Send Rules Simple

    Avoid layering multiple conditions. If a form is needed only for “Direct Cremation,” do not add extra criteria that could prevent it from firing.

  • Use Icons or Color Codes (Optional)

    If you manage many templates, consider adding a small icon or colored label next to each form in the Library to spot the right document at a glance.
