Using the Cases table: views, columns and filters

Written by Ashley Jones

Set up your case list the way you work, save it as a view, and add any of the 38 available columns.

Your Cases table is the list you land on when you open Parting Pro. It has been rebuilt so that instead of one fixed layout for everyone at your home, each person arranges it to suit their own job and saves that arrangement as a view.

1. Views

A view is a saved arrangement: which columns you see, what order they are in, how they are sorted, and which filters are applied.

Your table starts with five views along the top.

Creating a view

  1. Click + Add view to the right of the tabs.

  2. Pick a starting point. Start from a preset and the columns, filters and sorting are already set for a common job, or pick Blank and choose everything yourself.

  3. Give it a name. Something like "My open cases" works well.

  4. Under Columns, drag rows to reorder them and click the X to hide one. Open Add columns to bring in any column that is not showing.

  5. Under Filters, set any filters you want the view to remember.

  6. Click Create view.

Your new view appears as a tab alongside the others.

Starting from a preset

A preset is a ready-made starting point. Pick one and the view opens with the right columns already on, so you are adjusting something rather than building from nothing.

Preset

What it sets up

Good for

Paperwork

Death certificate and document columns

Seeing which cases are waiting on a signature, a form or a filing

Unpaid and closing

Balance and payment columns

Chasing open balances and spotting cases ready to close

Pre-need

Pre-need columns

Following up on pre-need families

Blank

Nothing. You pick every column

When none of the above is close to your job

A preset is only a starting point. Once the view is created it is yours, so add columns, change the filters, re-sort it and rename it however you like. Changing it has no effect on anyone else's views or on the preset itself, so the next person who picks the same preset still gets the standard version.

If you pick Blank, the view starts with no columns selected and all 38 to choose from. If you are not sure where to begin, a preset is the faster route.

Reordering, hiding and deleting views

Click Manage views at the top right of the tab row.

  • Drag the handle on the left of any view to change its position in the tab row.

  • Click the eye icon to hide a view without deleting it.

  • Click the trash icon to delete it.

All cases and Deleted cannot be deleted. Active, Completed and Archived can, and so can any view you create.

Saving a change to a view

When you change columns, filters or sorting, a Reset button appears and a dot shows on the Columns button. The change sticks for you straight away and survives a reload, but it is not yet attached to a view. In the Columns or Filters panel open Save options and choose:

  • Save for current view to keep the change in the view you are in.

  • Save as new view to leave the current view alone and create a new one.

Click Reset to discard the change. Reset returns date range, filters, sort and column layout to the view's defaults. There is also a Reset columns link at the top of the Columns panel, which puts the column selection back to the standard 21 without touching your filters or sort.

2. Choosing your columns

Click Columns at the top right of the table.

The panel shows how many columns are on, for example "21 of 38 columns selected". Tick a column to show it, untick to hide it, drag the handle to reorder, and use the search box at the top to find one quickly. Click Apply when you are done.

These 21 columns are on by default.

Tracking ID, Tracking location, Personal belongings

Most of these link into the case. Click a Personal belongings count, for example, and that case opens on its Care tab with Personal belongings already selected.

For what each of the 38 columns shows, where that information lives in the case and what changes it, see Where Your Cases Table Data Comes From.

The three decedent care columns work well together as a set. Tracking location and Tracking ID show as plain text, and Personal belongings shows a count, blank when there is nothing recorded. Turn on all three and filter to your active cases to see everyone currently in your building at a glance.

To search, pick a field from the dropdown on the left of the search box, then type. To sort, click a column header, or use the three dots on the header for more options.

4. Reading notes from the list

Click the notes icon in the Notes column on any row and that case's notes open in a window over the table.

The window is for reading. To add or edit a note, open the case and use its Notes tab.

5. Restoring a deleted case

Open the Deleted view and click Restore case on the row you want back.

6. Sharing what you are looking at

Your browser address carries the view, filters, search and sort you have applied. Bookmark it to come back to it, or copy and paste it to a colleague and they will open the same list.

Frequently asked questions

Do my views show up for everyone at my home?
No, your views are yours. Everyone sets up their own, and changing or deleting one never affects a colleague's. Presets make this easy: point a colleague at the same preset and they get their own copy to adjust. Shared team views are something we are working on.

Will my table look different after this update?
Only slightly. Need type and Service type are on for everyone and replace the old single Case type column. Every other new column stays off until you turn it on, so nothing you have set up gets rearranged.

Can I filter on the new columns?
Not yet. You can show them and sort by them, but filtering covers the groups listed in section 3. Filtering on merchandise, death certificate status and the rest is on our list.

Can I add a note from the table?
Not at the moment. The notes window shows you what is already there, and there is a link in it to the case's Notes tab where you can write one.

I hid a view and want it back.
Open Manage views and click the eye icon next to it. Hiding a view never deletes it.

Do the notes I can see from the list tell me there are notes?
Yes. The notes icon carries a small count badge on any case that has notes, so you can spot them without opening the window.

Why do I see only some of my columns?
The table scrolls sideways. If you have 21 columns on, roughly the first ten are visible and the rest are to the right. Hide the ones you do not need and the ones you do will fit.
