Invoice Watermark Settings

Enable a "Paid in Full" watermark on your invoices and payment receipts so families and staff can see at a glance that a payment has been completed.

1. Opening Watermark settings

In the admin sidebar, go to Invoice settings, then click Watermark.

You'll see two sections on this page: one for the invoice watermark and one for the payment receipt watermark. Each is controlled independently.


2. Enabling the watermark

In the Invoice watermark section, click the With watermark card. The setting saves automatically.

From this point on, any invoice that has been paid in full will show the "Paid in Full" watermark diagonally across the page whenever a receipt is generated for it.

Payment receipt watermark

In the Payment receipt watermark section, click the With watermark card. The setting saves automatically.

Payment receipts for paid-in-full transactions will now include the watermark.


3. Disabling the watermark

Click the Without watermark card in either section. The change saves immediately.


4. Which invoices get the watermark?

The watermark applies at the moment of receipt generation, based on the current toggle state and the invoice's payment status.

Enabling the watermark does not go back and stamp PDFs you've already generated. Going forward, any paid-in-full invoice will display the watermark the next time a receipt is created for it.


FAQs

  • Where in the dashboard can I see the watermark? The watermark appears on the PDF when you generate a receipt from the payment dropdown. You won't see it on-screen inside the case view. Open a receipt for a paid-in-full invoice and the watermark will be on the PDF.

  • Does this apply to old invoices too? Yes! Any invoice that was paid before you enabled the watermark will also show the watermark the next time you generate a receipt for it. The toggle controls all future receipts, regardless of when the payment was made.

  • Why doesn't the watermark appear on an invoice that's overpaid? Overpaid invoices are intentionally excluded. The "Paid in Full" label would be inaccurate when the amount collected exceeds the invoice total, so the watermark is held back in that case.

  • Can I change the watermark text or position? No. The watermark always reads "Paid in Full" and appears diagonally.

  • Do I need to turn this on for each case separately? No. The toggle in Invoice settings applies to your entire account. Once it's on, all qualifying receipts going forward will include the watermark automatically.
