How can I reconcile my bank deposits with customer payments I've received?

We have implemented a Payouts dashboard on the Payments page for our customers who use Stripe for credit card processing and payouts. For those customers, you now can export reports and see details for deposits to your bank account. **Note - only users with the Administrator role are able to see Payouts.

Viewing Payout Details

While logged into the dashboard, click on your name in the upper, right corner and select Payments from the dropdown:

The Payments page contains ALL payments made in your cases, whether they are credit card (processed offline and online), cash, check, other, etc. In the upper left corner you will notice that you have an option to view Payments history or Payouts. Payouts is only available to our Stripe customers so if you currently process your credit cards with us through Payrix, you will not see this option (but you should be able to log into Payrix to access this same information). Click on Payouts in the upper left corner to see all payments recorded for online credit card transactions:

The Payouts page will provide payouts from Stripe (no offline transactions will display on this page). The Net total of a payout should match the amount deposited into your bank account:

To see details of a particular deposit, just click on that line item. On the right, details for the included transactions will be displayed with the date the payment was created, Case ID (if applicable), the name of the decedent associated with the case, the name of the cardholder, the transaction type, gross total, processing fee, and net total:

On the left, details for the total deposit will be broken down with Net total, Balance and Bank info details:

To dig deeper and get details of a specific payment, click on that line item under Included transactions and you will be taken to the Payment details page for that payment:

Using Filters to Search for Transactions

Click on the Filters button to create filters for date ranges, amounts and statuses to narrow down your results. Once you've selected your criteria, hit the green Apply filters button in the lower right corner of the window:

Manage Columns

Click on the Manage columns button in the upper right corner. In this window, you can click and hold the arrows to the right of the column name and move the column up or down to change the order.

Exporting Transactions

The criteria for a file export is based on what you have set up in your filters. First, you will want to click on the Filters button and set up your criteria (date range is most common) and hit the green Apply filters button:

Next, click on the Export button in the upper right corner:

This will create a file and a download window will appear:

Click on Download file to download the .csv file to your Download folder on your hard drive.
